How to Send a Fax Online From Your Computer (Step by Step)

No fax machine, no phone line. Here is exactly how to send a fax from your web browser with FaxToFax, from signing in to your delivery receipt.

You can send a real fax from your computer in a few minutes, with nothing to install. The recipient receives an ordinary fax on their machine or fax service; you work entirely in your web browser. This guide walks through each step in FaxToFax.

What you need

  • A computer with a modern web browser.
  • Access to your email to receive a sign-in code.
  • The document you want to send, as a PDF, PNG or JPG (up to 25 MB).
  • The recipient’s fax number and the country it’s in.

Step 1: Sign in with an email code

Go to FaxToFax and enter your email address. We send you a one-time code. Type the code to sign in. There is no password, which removes the risk of weak or reused passwords. If you step away, you are signed out automatically after 30 minutes of inactivity by default (owners can choose 15, 30 or 60).

Step 2: Open the fax composer

From your dashboard, choose Send a fax, then pick Upload a document (PDF, PNG or JPG) or Create a document (type a message on your letterhead).

Step 3: Add your recipient

Choose the recipient’s country, then type the fax number; the country code is added for you. Add a name if you like. FaxToFax shows each number back to you, with its flag, before anything is sent. That final check helps catch the most common cause of misdirected faxes: one wrong digit.

You can also choose a saved contact, and you can add up to 50 recipients to the same fax. See how to send one fax to multiple recipients.

Step 4: Create your cover page

FaxToFax builds a professional cover page on your own letterhead with your logo. Choose a template, add a subject and a short message, and apply marks if needed:

  • Urgent
  • For review
  • Please reply
  • Confidential

Step 5: Attach your document

Drag your files into the composer or click to browse. FaxToFax accepts PDF, PNG and JPG files up to 25 MB per fax. Files are sent in the order shown, after the cover page. Use the preview to check that everything is legible in black and white.

Tip: Have a Word document or spreadsheet? Use "Save as PDF" in that application first. For more preparation tips, see how to fax a PDF.

Step 6: Send now or schedule

Choose Send fax to transmit immediately, or open More options and choose Schedule to pick a date and time up to 90 days ahead. Scheduling is handy for reaching offices during business hours. Learn more in how to schedule a fax.

Step 7: Check your delivery receipt

FaxToFax dials the recipient and transmits your pages. When the fax completes, a delivery receipt shows the number, time and pages delivered. If a fax could not be delivered, the receipt explains why, so you can fix the number or retry from the fax’s page. Keep receipts with your records when you need proof of transmission.

How much does it cost?

  • Personal: $4.99 for the first month, then $18.99 per month, including 200 pages.
  • Business: $14.99 for the first month, then $39.99 per month, including 500 pages, 5 users and a BAA available.

Troubleshooting

  • Did not get the sign-in code? Check your spam folder and confirm the email address you typed.
  • File rejected? Make sure it is a PDF, PNG or JPG, not password protected, and under 25 MB.
  • Delivery failed? Confirm the number is a fax line, not a voice line, and try again.
