How to Send One Fax to Multiple Recipients

Send the same document to up to 50 fax numbers at once, with every number confirmed before sending and a delivery receipt for each recipient.

Sending the same document to several offices used to mean standing at a fax machine, dialing number after number, and hoping each one went through. With online fax you can prepare the document once and send it to many recipients together. FaxToFax supports up to 50 recipients on a single fax, and each one gets its own delivery receipt.

Common reasons to fax multiple recipients

  • A clinic sending a policy update to referring physicians.
  • A law firm serving copies of a notice on several parties' counsel.
  • A property manager notifying multiple vendors or offices.
  • A finance team distributing signed forms to several branches.

Step by step

  1. Sign in with your email address and the one-time code we send.
  2. Choose Send a fax to open the composer.
  3. Add the first recipient. Choose the recipient’s country, then type the fax number and, if you like, a name.
  4. Add more recipients the same way, or select saved contacts. Saved contacts don’t need retyping; check each one is current.
  5. Prepare the cover page. Your letterhead is applied automatically. Keep the note general if it will go to everyone.
  6. Attach your PDF, PNG or JPG files (up to 25 MB total).
  7. Send now or schedule for a later time. FaxToFax shows each number back to you, with its flag, before anything is sent.
Tip: If you fax the same group regularly, save each recipient as a contact, then pick them from your contacts every time after.

Delivery receipts for each recipient

Each recipient is delivered independently. If one office's line is busy, the others are not held up. When the job is complete you get a receipt for every recipient showing whether delivery succeeded, the time it completed and the number of pages. If a delivery fails, for example because the line was busy, the receipt shows the reason; correct the number if needed and retry it from the fax’s page.

How pages are counted

Page allowances count pages delivered to each recipient. A 4-page fax sent to 10 recipients uses 40 pages. Personal plans include 200 pages per month and Business plans include 500, so plan larger distributions accordingly.

Privacy considerations

When you include a cover page, it lists a short distribution line naming every recipient (or their fax number if you didn't add a name), so each recipient can see who else received the fax. Still, consider whether the content is appropriate for everyone on the list. If a document is about a single patient or client, it generally should not go to a broad list. For personalized documents, send separate faxes with the right content for each recipient.

Also make sure your cover page fits everyone. A note that says "Dear Dr. Smith" will look odd to the other 19 recipients. Use a general salutation instead; the cover page lists the whole distribution.

Teams and accountability

On Business plans, up to five users can share an account with roles for owner, admin, member and viewer. The append-only audit log records who sent each fax and to whom, and admins can export it as CSV for record keeping.
